On September 29, 2014, providers received an email with the final version of the revised Bylaws of the Medical and Dental Staff of Kaleida Health.

Please review the document that was attached to that email and be prepared to vote on the revised bylaws during the Medical Staff Annual Meeting on October 14, 2014.

 


Physician Engagement SurveyPhysician Survey

This year, Kaleida Health will once again solicit feedback from providers about what the organization does well and where there are opportunities for improvement in the Physician Engagement Survey. The survey is the most direct method for capturing the voice of the medical staff and incorporating feedback into the organization's agenda moving forward.

A Physician Engagement Survey Steering Committee, consisting of Kaleida Health physicians from each site, is helping to shape this year's survey questions and how results are shared.

The goal of the survey, which will be sent to the kaleidahealth.org email in November, is for physicians to share their thoughts and insights by completing a series of standard questions.

Research shows that engaged physicians lead to more satisfied patients, improved quality and better organizational finances.


Influeza VaccineInfluenza Vaccine

It is time to prepare for the 2014-2015 influenza season. Kaleida Health will continue to follow the New York State Department of Health (NYSDOH) mandate titled, "Regulation and Prevention of Influenza Transmission by Healthcare and Residential Facility and Agency Personnel" to document the vaccination status of healthcare personnel.

Kaleida Health developed a policy (EH.09) to comply with the mandate, protect our patients and prevent the spread of influenza by increasing the vaccination rates of all healthcare personnel.

Like last year, the vaccination status of all healthcare personnel must be documented and all unvaccinated personnel wear a surgical mask at all times while in areas where patients or residents are typically present during the entire influenza season as determined by the NYS Commissioner of Health.

Influenza vaccines are available for all paid Kaleida Health employees, medical staff, residents and other non-paid mid-level providers through Employee Health and the Visiting Nursing Association of Western New York (VNA).

"Flu Clinics" will be held throughout the fall by both Employee Health and the VNA. Vaccines will also be available at each site Employee Health office during scheduled hours for those unable to attend a clinic. The clinic schedule is available on Employee Health's website.

Providers can also obtain an influenza vaccine during the Medical/Dental Staff Annual Meeting on Tuesday, October 14, 2014.

Providers must have their Kaleida Health ID badge to receive the vaccine at Employee Health or a site clinic, or both their Kaleida Health ID badge and their health insurance card if utilizing a VNA sponsored clinic.

At the time of vaccination, a Kaleida Health Employee Health nurse or VNA administering nurse will apply a new sticker on the right lower corner of the provider's Kaleida Health ID badge to give visual verification of vaccination. Please remove last year's sticker from your badge prior to receiving this year's vaccination.

Kaleida Health will recognize vaccination stickers from other healthcare organizations. Providers vaccinated by a facility or provider other than Kaleida Health or the VNA will need to submit official proof of vaccination to the Medical Staff Office.

Those who decline the influenza vaccine must complete a "Declination of Influenza Vaccine" form. Any provider who declines the vaccine due to a medical condition will also need to complete the "DOH Medical Exemption Statement" form. Both forms are available on Employee Health's website.


Timely Completion of the Operative/Procedure Report

In the spirit of continual improvement and adherence to Kaleida Health's current medical staff policy, which requires the completion of the operative/procedure report within 24 hours of a procedure, the Medical Executive Committee (MEC) endorsed a recommendation from the Peer Review Committee (PRC) to shorten the time period for the escalation of overdue records and the respective consequences by the AMOK process.

Effective October 15, 2014, Health Information Management (HIM) will notify practitioners that a report needs to be completed when it becomes one day overdue via a Kaleida Health email, as well as a phone call/text message. A message will also be posted in the practitioner's message center. We will no longer fax notices.

On day two of the delinquent record, the practitioner will turn "yellow" on the AMOK list, and his or her respective chief of service (COS) will be notified. On day three, the notification of the delinquency will be escalated to the site chief medical officer as well as the PRC chair.

The notable change is on day four. If the delinquency continues after noon, the practitioner will turn "red" under the AMOK process and the following will occur:

An additional notable change is if the practitioner falls into the "yellow" status on the AMOK list three times in a reappointment period, the practitioner will be considered in a "red" status, and the process will be managed as noted above.
